1. Enrollment and scheduling
Lesson placement is based on Coach Leroy’s availability, the swimmer’s needs, lesson type, location, and confirmed pool access. A requested time is not reserved until placement is confirmed. Ongoing lesson times may be adjusted when necessary due to facility availability, travel, safety, or scheduling changes.
2. Payments and billing
Rates, lesson length, frequency, and payment due dates are provided before enrollment. Payment is required by the stated due date to hold a recurring lesson time. Monthly tuition generally covers one lesson per week; when a month contains five scheduled lesson days, the additional lesson may be billed separately or included in that month’s invoice as communicated in advance.
Families are responsible for keeping payment information current and for any agreed pool-access or guest fees.
3. Cancellations and make-ups
- With at least 24 hours’ notice, one client-cancelled lesson per swimmer may be eligible for a make-up each calendar month.
- Eligible make-up lessons must be used within three months and depend on available time and pool access.
- Cancellations with less than 24 hours’ notice and missed lessons are not eligible for a make-up or credit, except when Coach Leroy approves an emergency exception.
- If Coach Leroy cancels, the lesson will be rescheduled or credited.
- Facility closures, unsafe conditions, severe weather, or loss of pool access will be handled individually based on the circumstances and available alternatives.
4. Late arrivals and no-shows
Lessons end at the originally scheduled time so the next swimmer is not delayed. Arriving late does not extend the lesson or reduce the lesson fee. A swimmer who has not arrived or contacted Coach Leroy within 15 minutes may be considered a no-show.
5. Refunds and schedule pauses
Payments are nonrefundable once the billing period or lesson package begins. A schedule pause may be requested before the next billing period and is subject to availability when the swimmer returns. A paused time is not guaranteed to remain open unless a separate arrangement is confirmed.
6. Pool access and facility rules
The client is responsible for ensuring that Coach Leroy and each swimmer are authorized to use the selected pool. Clients must disclose guest fees, registration requirements, parking instructions, building access procedures, and facility restrictions before the first lesson. Everyone must follow the rules of the pool, residential building, gym, hotel, or other third-party facility.
Coach Leroy Swim does not own or control third-party facilities and cannot guarantee their availability, water conditions, maintenance, staffing, or policies.
7. Safety and supervision
Swimmers must follow Coach Leroy’s instructions and all posted pool rules. Coach Leroy may modify or stop an activity when conditions are unsafe or a swimmer is not ready for the skill. A responsible adult must remain available for minors unless another arrangement is expressly approved.
Parents and guardians are responsible for children before the lesson begins and immediately after it ends. Swimmers should not enter the water before receiving permission.
8. Illness and health expectations
Please cancel when a swimmer has a fever, vomiting, diarrhea, a contagious illness, an uncovered wound, or another condition that may affect safe participation. Swimmers should meet the health requirements of the facility and be medically cleared when appropriate. Relevant medical, behavioral, sensory, or accessibility information should be shared before lessons so instruction can be adapted safely.
9. Assumption of risk, waiver, and emergencies
Swimming and aquatic instruction involve inherent risks, including injury, illness, and drowning. Participation requires acknowledgment of these risks, compliance with safety instructions, and completion of any required liability waiver before the first lesson.
In an emergency, Coach Leroy may provide appropriate first aid, contact emergency services, and use the emergency information supplied by the client. A parent or legal guardian must complete required authorization for a minor swimmer. These policies do not replace a signed waiver or emergency authorization.
10. Photography and video
Coach Leroy Swim will not use a swimmer’s identifiable photo or video for marketing without prior permission from the adult swimmer or the minor swimmer’s parent or legal guardian. Consent is optional and may be withdrawn for future use in writing.
11. Waitlist and placement
Joining the waitlist does not guarantee a lesson time or establish enrollment priority based only on submission date. Openings are offered based on schedule fit, location, pool access, lesson type, swimmer needs, and program capacity. Families may be asked to confirm interest within a stated period before an opening is offered to someone else.
12. Respectful participation
Coach Leroy Swim is committed to a welcoming environment. Unsafe, threatening, discriminatory, or seriously disruptive behavior may result in a paused or ended lesson arrangement. Whenever appropriate, concerns will be discussed first so a workable solution can be found.
13. Personal information
Contact, swimmer, scheduling, and health information is collected only as needed to respond to inquiries, arrange lessons, support safe instruction, and maintain business records. Coach Leroy Swim does not sell personal information. Please avoid sending highly sensitive medical or financial details by ordinary email.
14. Changes to these policies
Policies may be updated as the program, facilities, or legal requirements change. Material changes affecting enrolled clients will be communicated before they take effect when reasonably possible. Continuing lessons after an update means the revised policies apply going forward.
